Flex – Adding Purchased Leave
The notes below are for use by any staff who have purchased additional leave and need it adding to their Entitlement. This is something that an individual must do in Flex, their managers cannot do it.
To add the purchased days or hours to your Leave Entitlement, please follow the procedure below:
- Using the "Period" button at the bottom of the Flex screen, go to the month when the Annual Leave year in which you purchased the Leave starts.
- Click on the "Adjustments" button at the bottom of the Flex screen.
- From the list of adjustments displayed, check for one entitled "Leave Carryover", on for the first of the month, if one does exist then follow the Amend an Existing Carryover below, otherwise go to Create a Carryover.
Amend an Existing Carryover
- Click on the "Leave Carryover" one for the first of the month, which will open that particular adjustment.
- Check the numeric value in either the "Days" or the "hh:mm" fields, depending on how your entitlement is displayed, changing it if required and then click "Amend". Please remember that you will need to work out the value by adding the purchased Leave amount to the existing value, which may be a negative amount.
- This will take you back to your timesheet - An alert will have been sent to your new manager informing them that they will need to authorise the carryover.
- It should be noted that the carryover will not show on your Flex Leave Card until it has been authorised.
- Remember to click on "Save" to save your timesheet.
Create a Carryover
- The "Leave Carryover" adjustment does not exist.
- Click on the "Add" button. This will present you with a blank adjustment, defaulted to the first of the month.
- From the list of adjustments displayed in the dropdown menu, click on the "Leave Carryover" entry for the first of the month.
- If your Leave Entitlement is in "Days", then enter the numeric value in the "Days" field and then click "Add".
- If your Leave Entitlement is in "Hours", then enter the numeric value in the "hh:mm" field and then click "Add".
- This will take you back to your timesheet - An alert will have been sent to your manager informing them that they will need to authorise the carryover.
- It should be noted that the carryover will not show in your Flex Leave Entitlement until it has been authorised.
- Remember to click on "Save" to save your timesheet.
