Flex – Bank Holiday Adjustments
Part-time staff get a different amount for a Bank Holiday than full time staff, usually one fifth of their working week, and so will need to amend the Bank Holiday hours accordingly.
The ‘Bank Holiday’ adjustment will always deduct a full day from Flex, whether this is the relevant hours and minutes for someone working full time, e.g. 7 hours 30 minutes, or the hours worked by someone on part time hours, e.g. 6 hours.
Part time workers get one fifth of their weekly working hours, e.g. 6 hours for a 30 hour week, for a Bank Holiday. You will need to calculate the number of hours that you should get and then work out if you need to add or subtract hours and minutes from the Bank Holiday amount, an example is shown below.
Someone who works 30 hours a week should get 6 hours for a Bank Holiday, but on a Monday they work 6 hours and 30 minutes, so they will need to subtract the 30 minutes off the Bank Holiday to get the correct amount. Please note that this amount may be either a positive or a negative amount.
If a Bank Holiday falls on a non-working day then the amount would be the one fifth value, but be a positive amount, e.g. for the above example it would be +6 hours.
To change the hours to get the correct time, please follow the procedure below:
- Click on the "Adj" button on the same day as the BANK HOLIDAY entry.
- From the drop down list of adjustments, choose the "OTHER ADJUSTMENT" entry.
- Rather than choose "FULL DAY", enter the difference amount calculated above as number of hours, e.g. if the amount calculated is for 1 hour and 15 minutes, then put -1:15.
- Click "ADD".
- This will take you back to your timesheet and the amount should have been deducted from the totals.
- Remember to click on "Save" to save your timesheet.
It should be noted that the difference in hours for part-time staff does not get included in their Annual Leave allocation, but gets included in their Flex allocation as they may need to make up some hours depending upon their Bank Holiday value.
